Trip Terms

These terms apply to single-day Vela & Novium experiences, including V&N Weekenders and Drops. By booking a place, you agree to these terms.

1. Booking
Your place is confirmed once full payment has been received. Bookings are for the named guest, but you may transfer your place to someone else at no charge by contacting us before the trip. You must be 18 or over to attend unless we have agreed otherwise in writing.

2. What’s Included
Your booking includes the items described on the relevant trip page. Anything not listed as included, such as additional drinks, purchases or personal expenses, is your responsibility.

3. Cancelling Your Booking
If you need to cancel:
• More than 14 days before departure – full refund
• 7–14 days before departure – 50% refund
• Less than 7 days before departure – non-refundable
You may transfer your place to another person at no charge, provided you let us know before departure. Because our trips are leisure experiences taking place on a specific date, the standard 14-day online cancellation period does not apply.

4. If We Cancel
We may cancel a trip where reasonably necessary, including because of unsafe weather, supplier cancellation, insufficient bookings or circumstances outside our reasonable control. If we cancel and do not offer a suitable alternative that you accept, we will refund the amount you paid to Vela & Novium. We are not responsible for separate costs you arrange yourself, such as accommodation or travel to the meeting point.

5. Changes to the Trip
The itinerary shown before departure is indicative. We may make reasonable changes because of weather, safety, transport, supplier availability or other circumstances outside our control. If a significant part of the experience cannot go ahead, we will aim to provide a suitable alternative where reasonably possible.

6. Fitness and Participation
Some V&N experiences involve walking, swimming, sauna use or other physical activity. You are responsible for deciding whether you are comfortable and able to take part. Some parts of a trip may be optional. For example, you will never be required to enter cold water simply because it forms part of the planned experience. You must follow reasonable safety instructions given by Vela & Novium and any suppliers or venues involved in the trip.

7. Clothing and Equipment
We will tell you in advance about any clothing or equipment you need to bring. You are responsible for arriving suitably prepared, including with appropriate footwear and clothing for the expected conditions. Any equipment supplied by Vela & Novium should be used responsibly and returned when requested.

8. Food, Allergies and Dietary Requirements
Please tell us about dietary requirements or allergies before the trip. We will make reasonable efforts to accommodate them and will pass relevant information to food or hospitality suppliers where necessary. We cannot guarantee an allergen-free environment where food is prepared or supplied by third parties.

9. Alcohol
Alcohol may be included in some V&N experiences. Please drink responsibly. We may refuse to provide further alcohol, or prevent participation in an activity, where we reasonably believe it would be unsafe.

10. Third-Party Suppliers
Parts of a trip may be provided by independent suppliers, such as transport operators, restaurants, activity providers or venues. Their own safety requirements and participation rules may apply. If a supplier requires a waiver or other acknowledgement before an activity, you must complete it before participating.

11. Behaviour
Please behave respectfully toward other guests, suppliers, staff and members of the public. We may remove someone from an experience if their behaviour is unsafe, abusive or seriously disruptive. No refund will be due where someone is removed for those reasons.

12. Personal Belongings
You are responsible for your personal belongings during the trip.

13. Photography and Video
We may take photographs or video during V&N experiences. We will ask separately before using identifiable images of you for promotional or marketing purposes. You can choose not to appear in promotional content.

14. Our Responsibility
We will provide the experience with reasonable care and skill. Nothing in these terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.
